Volunteering Details


How can I help?

Parent Volunteers!  A typical home meet has almost 800 people in attendance.  This means that at least 100 parent volunteer shifts are performed throughout the day.  

Volunteer requirements for 2026 Swim Season

A minimum of 4 volunteer shifts must be performed during the regular season (dual meets) AND 1 volunteer shift at the Divisional Swim meet per family and 1 for Trinity.  Trinity is a team sponsored Invitational swim meet, and all families are expected to volunteer for this team fund raiser.   Again, volunteer requirements are per family, not per swimmer.  There is a maximum of two shifts per family per dual meet/invitational/divisional.

  • Sign-ups for volunteer shifts will open up the Sunday morning before each event.  See the email from the Volunteer Coordinator as to what time sign-ups will begin. 
  • A maximum of two volunteer slots per dual meet/invitational/divisional is allowed.  If you sign up for more than two slots for a given event, the Volunteer Coordinator will remove one of your shifts to allow room for others to volunteer.  
  • Volunteer Shifts will be registered under the name of the parent(s) or guardian(s).  
  • Grandmas, grandpas, aunts, uncles, close friends etc. are welcome to step in to fulfill the requirement.  Just let the Volunteer Coordinator know who they are fulfilling the work for the day of shift.
  • Read the description for each job as it lists what work is needed as well as shift start/stop time. 
  • This is a requirement to participate on the team.  Without the help of parent volunteers, we would not be able to host or even participate in any swim meet or invitational.  There is a $500 hold placed on your credit card during registration.  If the family fails to volunteer as described above, all or portions of this $500 will be forfeited as described below.  
    • Dual Meets-$75.00 for each non-completed volunteer slot.
    • Divisionals/Trinity-$100.00 for each non-completed volunteer slot. 

Examples of volunteer shifts

Computers: Like many other positions, the computer volunteers are vital to our week to week if not every day operation. You will work directly with the other computer personnel and coaches more than just Saturdays to make sure times are entered correctly and assist in running the meets. There are many duties “behind the scenes” with this position.

Age Group Parents: This position needs two parents for each male and female age group to be at a designated location where the children meet when their event is called. These people are the ones responsible for lining the swimmers in the correct order and bringing them to the ready bench. Parents will need to be available to assist with the relays and the individual events. Please designate which age group you would like to be assigned.

Ready Bench: The “staging area” for swimmers before they line up behind the blocks. Bring your best teachers voice and get the kids in order to keep the meet flowing. Without the ready bench, the meet comes to a complete stand-still!

Timer: Kick off your shoes, grab a stopwatch, and get an up close view of the race. These people are located at the end of the pool. We use a semi-automatic timing system which is activated by an electronic pulse from a starting device. Finishes are recorded by buttons pushed by timers at the swimmer's finish touch. The accurate timing and recording of each swimmer's performance are essential.

Scribe: These people are located at the finish line sitting next to the timers, recording their times as the timers communicate them. These people need to have excellent handwriting skills.

Runner: Burn some calories, and get ready to say, “Excuse me” 500 times in a morning! This person takes the times from the timers, and delivers them to the computer room. Here the times are entered into the computer, scored, and posted.

Ribbon Writer: An old term for an easy job. The top kids in each event are awarded ribbons for their achievement. This person takes a sticker from the printer and places it on the correct ribbon to be distributed to the swimmers. An air-conditioned job!

Equipment Set-Up/Clean-Up: These are the folks who like to start their day early with a cup of coffee and stay a little later after a home meet. There are lots of things that need to get put up and taken down at a swim meet. Good news here though, only four home meets!

Concessions: We generate additional revenue for our team from concessions. These are the people who set-up, cook, serve, quench our thirst, and build our team's coffers!
